A business's GST registration must be kept current whenever there is a change in address, ownership, or operational details. The GST portal treats this as an Amendment of Registration, split between fields that require an officer's approval and fields that update automatically — a distinction that determines how quickly a change takes effect.

Core Fields vs Non-Core Fields

Core fields affect legal identity or tax jurisdiction and require approval from a jurisdictional officer, typically within 15 working days. These include the legal name of the business (only where PAN remains unchanged), the principal place of business, addition of an additional place of business, and changes to stakeholders such as partners, directors.

Non-core fields are operational details that update instantly on submission — authorised signatory details, bank account information (which must be updated within 30 days of registration or change), HSN/SAC codes, and contact information.

Filing an Amendment

The process runs through Services > Registration > Amendment of Registration, selecting either the Core Fields or Non-Core Fields path depending on what is being changed. Address changes require supporting proof such as an electricity bill, rent agreement, and NOC, while stakeholder changes require a board resolution and the new member's PAN and Aadhaar. The applicant must state the reason and date of amendment and verify the submission through Aadhaar OTP or a Digital Signature Certificate, after which an Application Reference Number is generated to track status.

The 15-Day Filing Window

Under Rule 19 of the CGST Rules, an amendment application must be filed within 15 days of the event triggering the change. Delaying this can cause invoices to be mismatched against the registered address, exposing the business to suspension of the GSTIN and blocking of e-way bill generation.

Where Modification Is Not Possible

Certain changes cannot be handled through amendment and instead require a fresh GST registration — a change in PAN (such as converting a proprietorship into a private limited company), a shift in the state of operation, since GST is state-specific, and a fundamental change in business constitution (such as LLP to company) that typically involves a PAN change.

Common Reasons for Rejection

Amendment applications are most often rejected for incomplete address proof — a rent agreement submitted without the owner's NOC being the most frequent cause. If an officer raises a discrepancy on a core field amendment, a clarification notice is issued in Form GST REG-03, with only 7 working days to respond. HSN code changes that shift a product into a lower tax bracket without a corresponding change in business description also invite scrutiny.
